How to Request Changes
Aside from system-generated Issue flags with outlined remediation requests therein, Admin users have the ability to request custom changes from Submitter users on submitted Documents. This might occur for items not automatically flagged by the system, such as design feedback or various branding requirements.
Utilizing the Changes Requested feature will not remove any system-identified issues. Admin users may utilize the trashcan icon next to each system-identified Issue if they elect to remove it.
To request a custom change, Admin users may select the Request Changes button in the view pane for an individual Document:
Once selected, a Request Changes popup will appear. Admin users may add custom feedback in the Feedback text box and select a Priority Level. There is a minimum requirement of at least 20 characters before the Submit Request button becomes available.
Changes Requested Status
After a Submitter user has been sent requested changes by an admin user, the Document will reflect a purple Changes Requested status on the Document review pane and in the Document Page grid view. Documents will continue to display a Changes Requested status until a new revised Document has been uploaded, at which time the Document may have a new status of Approved or Non-Compliant applied.
Note: The TrustFrame system will not reference custom Changes Requested in the automated review process with resubmission of Documents. Any custom Changes Requested must be managed by Admin users directly. Previously issued Changes Requested will be continued within the Document's Activity Timeline.
Email Notification
When a Document is marked as Changes Requested, Submitter users will receive an automated email notification notifying them that changes have been requested for their Document:
Activity Timeline
Admin users have the ability to see each Document's individual Activity Timeline within the Document Review pane. The timeline will include activities instigated by individual users (both Admin and Submitter users) as well as system generated activities. Admin users can elect to filter the Activity Timeline by Activity Type, User, or Time Period.
